Job Summary:
This position is a part of the Arizona Talking Book Library (ATBL) within the Arizona State Library, Archives and Public Records, reporting to the Assistant Administrator. This position works collaboratively with the public service staff and all others at the Arizona Talking Book Library, as well as other agency staff.
The Certification Specialist supports the activities of the public service department. The position is responsible for review of patron service applications for completeness and accuracy to meet federal requirements of the program. This position:
- Tracks initial process from receipt of application to set up of service.
- Provides assistance to current patrons and people interested in the service over the phone and - electronically. Updates contact information as needed.
- Coordinates with network library staff in other states to ensure successful transfer of patron records.
- Communicates with certifying authorities including professional staff of hospitals, institutions, and public or welfare agencies.
- Performs other duties that may be assigned.
Job Duties:
- Provide assistance to patrons directly over the phone and electronically. Confirm changes in contact information and update records. Route calls to reader advisors or other staff and provide backup assistance with basic reading requests by book number.
- Process new applications following the Standards and Guidelines of Service for the Library of Congress Network of Libraries for the Blind and Print Disabled. Verify that applications are complete and eligibility requirements are met. Facilitate transfer of patrons into or out of the state.
- Administrative duties such as filing applications, placing orders with multi-state facility, mailing catalogs, compiling items for new reader packets, greeting public at counter (walk-ins), etc. Maintain accurate statistics.
- Utilize Magazine on Cartridge (MOC) data system to assist audio magazine readers with questions relating to National Library Service (NLS) serials. Update magazine listings when braille or audio magazines are added or discontinued.
- Other duties as assigned as related to the position.
Knowledge, Skills & Abilities (KSAs):
- Considerable ability to organize and prioritize tasks.
- Detail-oriented and skilled in accurate record keeping.
- Experience in complex clerical procedures.
- Ability to develop a working knowledge of the Keystone Library Automation System (KLAS)
- Organizational and record keeping skills.
- Good oral and written communication skills with individuals.
- Computer, telephone, and interpersonal skills.
- Ability to adapt to changing priorities.
- Ability to serve people losing their sight and certain physical abilities to qualify for the service.
- Ability to communicate clearly and effectively with patrons who may not be able to communicate clearly or effectively. They may be losing hearing, have other physical disabilities, or have reduced mental abilities, i.e. memory problems, dementia, Alzheimer's.
- Ability to move between tasks quickly as priorities change.
