Basic Function: Supervises the daily operational and administrative activities of the circulation desk and volunteer coordination and training. Interprets library policies for patrons and coordinates activities with other unit heads.
Responsibilities:
With limited supervision:
- Supervises the Circulation Desk for staffing, customer service, consistency, donating advocacy, and circulation desk supplies.
- Assists the Support Services Manager in coordinating the activities of 75+ volunteers including recruiting, training, scheduling of all volunteer-supported library functions, including appreciation.
- Understanding and management of Polaris and Polaris Leap.
- Participates in the development, implementation, and enforcement of the policies, procedures, and regulations of the library, and communicates policies to volunteers and patrons.
- Participates in library special projects as required or as necessary.
- Keeps a database of volunteer information and skills, matching volunteers to opportunities that suit their skills, keeping volunteers informed, and conveying the organization’s purpose.
- Evaluates circulation operating procedures, and makes adjustments as needed to improve efficiency.
- Assigns work to Library Assistants and volunteers.
- Supervises the circulation of the library collection of books and non-book materials.
- Oversees the enrollment and care of new patrons to the library.
- Provides service, book, and media collection information, and advice to new and current patrons.
- Hiring, training, and management of Library Assistants.
- Provides training exercises for Circulation employees and volunteers.
- Reviews and resolves personnel problems within circulation.
- Ensures maintenance of circulation equipment.
- Maintains circulation data and prepares regular statistical reports for the Executive Director.
- Performs duties in other library divisions as needed.
- Establishes and maintains a positive, effective, and cooperative working relationship with the Board, staff, volunteers, and patrons.
Knowledge, Skills and Qualifications:
- Knowledge of supervisory methods, including work delegation, scheduling, evaluating performance and maintaining morale.
- Positive and effective attitude and working relationship with public and staff.
- Ability to prepare clear and concise statistical and narrative reports.
- Technology skills and a willingness to learn new software.
- Must be able to work evenings and weekends.
Preferred Qualifications:
- Experience coordinating, scheduling, and training volunteers.
- Master’s Degree in Library and Information Sciences from an ALA accredited institution preferred but not required.
- Experience in marketing and social media.
- Must have the ability to work with a diverse population and effectively provide excellent customer. service to a large number of customers simultaneously.
- Experience in customer service and user experience.
- Ability to work independently and in a team environment.
- Ability to prioritize and complete multiple tasks, and meet deadlines.
- Ability to create clear and concise reports, and to deliver them orally to a wide variety of audiences
